This policy explains how AMK Structures collects, uses and looks after your personal information when you visit this website, send us an enquiry or appoint us for structural engineering services.
Who We Are
AMK Structures is a trading name of Adrian Kuzniar, a sole trader based in West London. Adrian Kuzniar is the “controller” of your personal information, which means he is responsible for deciding how it is used and for keeping it safe.
If you have any questions about this policy or how your information is handled, please email info@amkstructures.co.uk or write to AMK Structures, 26 Helmsdale Close, London, UB4 9QS.
The Information We Collect
When you send us an enquiry using the contact form, by email or by telephone, we collect:
- your name, email address and telephone number;
- the address or location of the property concerned;
- details of your project and anything else you choose to tell us; and
- any photographs, drawings or documents you send us.
When you appoint us, we also collect the information needed to carry out and invoice the work, such as your billing address, site access arrangements, details of other people involved in the project (for example your architect, builder or neighbours for party wall purposes), site photographs, survey information and payment records.
When you visit this website, our hosting provider automatically records technical information such as your IP address, browser type and the pages you visit. This is used to keep the website secure and working properly. We do not use this information to identify you.
We do not collect special category information (such as health information) and we ask that you do not send it to us.
How and Why We Use Your Information
Data protection law requires us to have a lawful reason (a “lawful basis”) for each way we use your information:
| What we use it for | Lawful basis |
|---|---|
| Responding to your enquiry and preparing a fee proposal | Taking steps at your request before entering into a contract, and our legitimate interest in responding to enquiries |
| Carrying out the structural engineering services you have appointed us for | Performance of our contract with you |
| Sharing design information with Building Control and others involved in your project | Performance of our contract with you |
| Invoicing, accounting and tax records | Legal obligation |
| Keeping project records so we can answer future questions about the work and deal with any claims | Our legitimate interest in maintaining proper professional records |
| Keeping this website secure and preventing spam | Our legitimate interest in protecting the website |
We will not use your information for marketing, and we will never sell it or share it for anyone else’s marketing.
Who We Share Your Information With
We only share your information where it is needed for your project or to run the business. This may include:
- Building Control (your local authority or a registered building control approver) when submitting structural calculations and drawings;
- other people working on your project, such as your architect, builder, party wall surveyor or other consultants, where this is needed for the work;
- service providers who support the business, such as our website hosting, email and accounting software providers, who may only use your information on our instructions;
- our professional indemnity insurers, legal advisers and accountants, where necessary; and
- HMRC or other authorities where we are required to by law.
Some of our service providers may store information outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as the country having been approved by the UK Government as providing adequate protection, or the use of approved contract terms.
How Long We Keep Your Information
- Enquiries that do not go ahead: 12 months from our last contact, after which they are deleted.
- Project and client records (including correspondence, calculations, drawings and reports): 15 years from completion of the project. Structural design work can be relied on for many years, and we need to keep these records to answer questions about the work and to deal with any claims.
- Financial records: at least 6 years, as required by HMRC. These are normally kept with the project records.
- Website security logs: for the period set by our hosting provider, normally no more than a few months.

If we introduce any non-essential cookies in future, we will ask for your consent first and update this policy.
Keeping Your Information Secure
We take appropriate steps to protect your information, including password-protected accounts and devices, secure (HTTPS) connections on this website, and limiting access to those who need it. No method of sending information over the internet is completely secure, so please avoid sending anything particularly sensitive by email.
Your Rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your information, where we no longer have a lawful reason to keep it;
- ask us to restrict how we use your information;
- object to us using your information where we rely on our legitimate interests; and
- ask us to transfer information you have given us to another organisation, where this applies.
To make a request, please email info@amkstructures.co.uk. There is normally no charge, and we will respond within one month. We may need to confirm your identity before acting on a request.
How to Complain
If you are unhappy with how we have handled your information, please contact us first at info@amkstructures.co.uk and we will do our best to put things right.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
